ONLINE MEETINGS - POLICY


Dear Valued Client:


IN ORDER TO BETTER SERVE YOU (AND THE EXISTING CUSTOMER BASE) AND TO MAXIMIZE USE OF TIME AND PROJECT RESOURCES PLEASE OBSERVE THE FOLLOW GUIDELINES RELATIVE TO ONLINE MEETINGS AND COMMUNICATIONS ON PROJECTS (TICKETS).


ONLINE MEETINGS ARE HELD FROM TIME TO TIME TO DESIGN SOFTWARE ACCORDING TO CLIENT SPECIFICATIONS.  HOWEVER, THESE ONLINE MEETINGS ARE NOT PART OF THE CONSULTANT'S CONTRACTUAL AGREEMENT AND ARE ONLY HELD AT THE DISCRETION OF THE CONSULTANT, AND FOR EDUCATIONAL & ENTERTAINMENT PURPOSES ONLY. YOU ARE NOT REQUIRED TO BE AT ANY MEETING IN ORDER FOR THE CONSULTANT TO COMPLETE AND DESIGN WORK.


LENGTH OF MEETINGS:


Length of the meetings are determined by the consultant and by the actual task that needs to accomplished.  As a general rule the following applies to all meetings held online:


1. 15 MINUTES  (Review Information)

2. 30 MINUTES  (SHORT TASKS)

3. 45 MINUTES  ( URGENT LETTERS / SHORT MOTIONS)

4  60 MINUTES  (MAJOR TASKS AND PROJECTS)


ONLINE MEETINGS, PHONE CALLS, TEXT MESSAGES ARE NOT MANDATORY OR NECESSARY AND MOST OF THE WORK LOAD IS COMPLETED OFFLINE BY THE CONSULTANT AND UPDATED TO THE TICKET SYSTEM.


PURSUANT TO THE CONSULTING AGREEMENT ALL COMMUNICATIONS IS VIA THE TICKET SYSTEM OR THE SUPPORT SYSTEM AND ALL COMMUNICATIONS MUST PASS THROUGH THESE SYSTEMS.


REGARDING TEXT MESSAGES:


TEXT MESSAGES WHILE ACCEPTED ARE NOT AUTHORIZED UNDER THE AGREEMENT AND NO TEXT MESSAGE MAY BE USED TO INITATE, OR UPDATE ANY TASK OR TICKET. ALL IMPORTANT COMMUNICATIONS MUST BE PLACED IN THE TICKET (OR SUPPORT SYSTEM) SO THAT COMMUNICATIONS ARE NOT LOST. HOWEVER, IMPORTANT ALERTS MAY BE TEXTED TO THE CONSULTANT, BUT THE DETAILS MUST STILL BE PLACED IN THE TICKET FOR ONGOING PROJECT MANAGEMENT.


                                          THE TICKET SYSTEM


THE TICKET SYSTEM OR THE SUPPORT SYSTEM ARE THE ONLY 2 SYSTEMS THAT MAY BE RELIED UPON FOR EFFECTIVE COMMUNICATIONS WITH THE CONSULTANT.


HOWEVER FROM TIME TO TIME, THE CONSULTANT MAY INVITE YOU TO ATTEND AN ONLINE SESSION MEETING, BUT SUCH MEETING IS PURELY OPTIONAL AND YOU OR THE CONSULTANT IS NOT REQUIRED TO ATTEND ANY ONLINE MEETING IN ORDER FOR WORK TO BE COMPLETED.


                                                  TELEPHONE CALLS:


TELEPHONE CALLS TO THE CONSULTANT ARE SCHEDULED PURSUANT TO THE AGREEMENT AND MUST BE SCHEDULED. THESE CAN BE SCHEDULE VIA YOUR MAIN TICKET.  OVER 100 CALLS ARE GENERATED TO THE CONSULTANT DAILY (WEBSITE CALLS, CLIENT CALLS, GENERAL CALLS) AND ALL CONFERENCE CALLS ARE PRE-SCHEDULED.


                                                MULTIPLE CASES:


MOST CLIENTS HAVE MULTIPLE CASES. HOWEVER ONLY ONE (1) CASE IS ACTUALLY AUTHORIZED TO RECEIVE ACTUAL SOFTWARE UPDATES. MULTIPE CASES ARE ANSWERED BASED UPON THE AVAILABILITY OF TIME AND RESOURCES.
